How booking works, and the terms that apply once your safari is confirmed.
Because every Wildtouch safari is tailor-made, the exact deposit, payment dates and cancellation terms that apply to your trip are set out in writing on your personalised quote and confirmation before you pay anything. This page explains how it all works in general.
How booking works
Every Wildtouch safari is tailor-made. You send an enquiry, we prepare a proposal and quote, and your safari is confirmed once you accept it and pay the deposit. A booking is a contract between you and Wildtouch Tours & Travel from that point.
Deposit & payment
- A deposit is required to confirm your safari and to secure your camps, permits and flights. The amount and the due date for the balance are shown on your quote and confirmation.
- The balance is due before you travel. Bookings made close to departure are payable in full.
- We confirm the accepted payment methods with your quote. Any bank or transfer charges are the traveller’s responsibility.
Prices
Prices are quoted per safari, based on your party size, the season and the camps chosen, and are held once your quote is confirmed. Before confirmation, prices can change for reasons outside our control, such as park and permit fees, fuel or currency movements.
If you need to change your safari
Tell us as early as you can and we will do our best to accommodate changes. Some costs may apply, particularly for permits and flights that are already booked.
If you cancel
Cancellations must be made in writing. Because we commit to camps, permits and flights on your behalf, cancellation charges apply on the following scale:
- Charges increase the closer to departure you cancel, on the scale set out in your confirmation — the deposit is generally non-refundable, and more of the cost applies as the travel date approaches.
- Gorilla-trekking permits and certain park permits and flights are typically non-refundable once issued, regardless of when you cancel.
If we have to change or cancel
We will always try to run your safari as planned. If events beyond our control (for example extreme weather, park closures, civil or health emergencies, or supplier failure) force a change, we will offer a suitable alternative or a refund of amounts we can recover, but we are not liable for costs arising from such events.
Travel insurance
Comprehensive travel insurance is a condition of travelling with us. Your policy should cover trip cancellation and curtailment, medical treatment and emergency evacuation, and your belongings. Please arrange it as soon as you book.
Passports, visas & health
You are responsible for holding a valid passport, the correct visas and any vaccinations or health documents required for Kenya, Tanzania and Rwanda (including yellow-fever certification where it applies). We are happy to point you to official sources — see our travel guidance — but the responsibility rests with each traveller.
Safari & risk
A safari takes place in wild, remote places with wild animals. There are inherent risks, and you agree to follow the reasonable instructions of your guides and hosts at all times.
Our responsibility
We arrange services provided by carefully chosen camps, lodges, guides and airlines, each of which has its own terms. We accept responsibility for arranging your safari with reasonable care and skill. To the extent the law allows, we are not liable for the acts of independent suppliers or for events beyond our control. Nothing in these terms limits liability that cannot be limited by law.
Complaints
If something is not right while you travel, tell your guide or contact us straight away so we can put it right. If anything remains unresolved, contact us at bookings@wildtouchafrica.com.
Governing law
These terms are governed by the laws of the Republic of Kenya.
